The Office Assistant plays a crucial role in supporting the smooth functioning of the office by providing administrative and clerical assistance.
The primary objective is to ensure the timely completion of administrative duties, facilitate effective communication, and support the needs of staff members and clients.
The Office Assistant is expected to demonstrate strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
By fulfilling these responsibilities, the Office Assistant helps maintain a productive and professional office environment, contributing to the overall success of the organization.
WHAT YOU WILL DO Regular duties include (but are not limited to):
Handling a significant volume of paperwork, including printing, filing, and organizing documents Operates various office machines i.
e.
, copiers, scanners, binding and postage machine Responsible for receiving and delivering mail within the organization, as well as being one of the few individuals trained to handle outgoing mail efficiently and ensuring proper postage.
Front desk relief - greet and interact with clients, employees, vendors, answer and direct calls and take messages Occasional client deliveries, trips to off-site USPS, UPS, or FedEx locations Monitoring and managing inventory for snacks, beverages, water, and other refreshments, ensuring availability for staff members Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies Maintains upkeep & cleanliness of conference rooms & kitchens Assisting in the setup and cleanup of meals during busy seasons, ensuring a smooth dining experience for employees Must be available to work additional hours and on Saturdays during peak seasons (January through April) WHAT WE ARE LOOKING FOR Experience 1
